Pontis provides childcare management software that early-childhood centers use to run their programs and stay connected with families. This policy explains what information we handle, why we handle it, and the choices you have.
Who we are and what this covers
Pontis ("Pontis", "we", "us") builds software for daycares, preschools, and early-childhood programs. This policy applies to the Pontis website at pontistech.co and to the Pontis mobile and web applications (together, the "Service").

Our role: your center controls its data
Pontis is a tool that childcare centers use. The center decides what information to record about children and families and how it is used. The center is the data controller; Pontis acts as a service provider (processor) and handles that information on the center's instructions, under our agreement with them.
If you are a parent or guardian and want to see, correct, or delete information about your child, please contact your childcare center first. We will support the center in responding to your request.
Information we collect
What is stored in Pontis depends on which features your center uses. It may include:
- Staff account information — name, email, phone number, role, and password.
- Child profile information — name, date of birth, photo, room or class, and enrollment details.
- Health and safety information — allergies, medical conditions, medication records, and immunization records, where your center chooses to record them.
- Family information — parent and guardian names, contact details, and approved pickup contacts.
- Attendance records — child check-in and check-out times, plus staff attendance and hours.
- Daily activity and learning records — meals, naps, notes, observations, assessments, and milestones.
- Photos and videos taken by staff and shared with a child's authorized family members.
- Messages exchanged between staff and families through the Service.
- Billing information — invoices, tuition plans, and payment records. Card and bank details are collected and processed by our payment provider; we do not store full card numbers.
- Device and usage information — device type, operating system, app version, log data, and push notification tokens.
- Location — only if your center enables curbside check-in, and only at the moment of check-in. Pontis does not track location in the background.
How we use information
We use information to:
- Provide, operate, and secure the Service.
- Let centers record attendance, ratios, learning, and health information.
- Let staff and families communicate and share a child's day.
- Process tuition and payments.
- Produce the reports centers need for licensing and compliance.
- Send service messages, such as notifications and account or security alerts.
- Provide customer support and troubleshoot problems.
- Improve the reliability, performance, and features of the Service.
- Meet our legal obligations.
Children's privacy
Pontis is built for adults — center staff and parents or guardians. Children do not create accounts and do not use Pontis directly.
Information about a child is entered by their center or their family. The center is responsible for obtaining any consent required from parents or guardians before recording a child's information in Pontis.
We never use children's information for advertising or marketing, we do not build advertising profiles, and we do not sell children's information. There are no third-party ads anywhere in the Service.
How we share information
We do not sell personal information and we do not share it for advertising. We share information only in these ways:
- Within your center — with staff your center authorizes, and with the family members the center approves for a given child.
- Service providers — companies that help us run the Service, such as cloud hosting, payment processing, and push notification delivery. They may only use the information to provide services to us, and are bound by confidentiality and security obligations.
- Legal reasons — when we must comply with the law, enforce our terms, or protect the rights, safety, and security of children, families, centers, or the public.
- Business transfers — if Pontis is involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction. We will notify affected centers.
How long we keep information
We keep information for as long as your center's account is active and we need it to provide the Service. When a center closes its account, we delete or return its data within a reasonable period, unless we are required to keep certain records to meet legal, tax, accounting, or licensing obligations. Centers can also delete individual records directly in the Service.
How we protect information
We protect information with encryption in transit and at rest, two-factor authentication on accounts, role-based access controls, and regular security reviews. Access is limited to the people who need it to operate and support the Service.
No online service can be completely secure. If you believe an account has been compromised, contact us right away at info@pontistech.co.
Your rights and choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, or to object to or restrict certain processing.
Parents and guardians: please contact your childcare center first, because the center controls the information about your child. Center staff can reach us at info@pontistech.co and we will help.
You can also, at any time:
- Turn off push notifications in your device settings.
- Change or withdraw camera, photo, and location permissions in your device settings. Some features will stop working if you do.
- Ask us to close your staff account and delete your account information.
App permissions
The Pontis app may ask for the permissions below. You can decline or withdraw any of them in your device settings.
- Camera and photo library — to take and upload photos or videos of classroom activities and to attach documents.
- Notifications — to alert you to messages, daily reports, and center announcements.
- Location — used only when your center enables curbside check-in, and only while a child is being checked in or out. Pontis does not collect location in the background.
Cookies
Our website uses only what is strictly necessary to operate and secure the site. We do not use advertising or tracking cookies, and we do not sell website visitor data.
International data transfers
Pontis may store and process information in a country other than the one you live in. Where information crosses borders, we take steps to keep it protected in line with this policy and applicable law.
Changes to this policy
We may update this policy from time to time. If we make a significant change, we will notify centers through the Service or by email and update the date at the top of this page.
